Purchasing Specialist

1 – Permanent Position

CUPE Local 4400 Unit C – Grade M (12 Month)

$39.95 – $47.03 per hour

Summary of Duties:

  • Prepare and solicit written competitive tenders, quotations and verbal quotes using the SAP system;
  • Summarize and evaluate quotations/tenders and make recommendations using the SAP system;
  • Communicate via phone, fax, e-mail, and internet;
  • Respond to written and direct inquiries from the customers, suppliers and public regarding various levels of policies, procedures, technology, specifications and recommendations;
  • Analyze requisitions and place purchase orders resulting from price agreements, tenders, quotations and market negotiations;
  • Contact suppliers regarding rush orders, status reports, service calls, back orders, etc.;
  • Confer with vendors on discrepancies in shipments, substitution and other pertinent inquiries to ensure proper delivery;
  • Prepare purchasing reports and related correspondence;
  • Liaise with sales representatives to update catalogue items, price lists, to discuss new items and to obtain sales information and samples;
  • Attend openings of quotations to act as witness and countersign bids to acknowledge receipt of same;
  • Coordinate and maintain Vendor and Material Masters in SAP;
  • Prepare and maintain a listing of suppliers/vendors and perform periodic review of samples and company performance;
  • Investigate new sources and products, interview sales representatives and evaluate new brochures and product samples and anticipate market trends;
  • Attend meetings and information sessions with customers, suppliers and other staff of Purchasing & Distribution Services and the Board;
  • Ongoing training of technological skills;
  • Expedite and follow-up on outstanding purchase orders; and
  • Other related duties as assigned.

Qualifications:

  • Two-year Community College diploma in Business Administration and Level 2 Certificate from the Purchasing Management Association of Canada and a minimum of three years experience in the purchasing function, or an equivalent combination of education and experience;
  • Detailed knowledge of applicable acts and regulations;
  • Detailed Knowledge of the Broader Public Sector Procurement Directive;
  • Excellent work organization and time management skills;
  • Proficiency and expertise in the use of computer technology (e.g. SAP purchasing/financial applications, word processing, e-mail, spreadsheets, and databases);
  • Demonstrated communication skills, including the ability to establish effective working relationships with the staff, vendors, suppliers, etc.;
  • Knowledge of contract law and an understanding of the supply cycle;
  • Ability to meet deadlines, deal with conflicting priorities and work demands;
  • Proven problem resolution skills; and
  • Demonstrated ability to work well in a team environment.

Special Requirements:

  • Some travel will be required to work sites throughout the TDSB system as well as vendor sites.

 

Location:          7 McCulloch Avenue (Wheelchair Accessible) (Hybrid Work Eligible)

 

Hours:              35 Hours per week

 

Work Year:     12 Months
