Junior School Co-ordinator
Full Time - Permanent

The Junior School Co-ordinator supports the Principal, Vice Principal and the Junior School (JS) office team on all administrative processes, procedures and responsibilities to ensure the smooth functioning of the JS. The Co-ordinator provides exemplary administrative and customer support in a busy, nurturing environment and is able to easily switch from working with basic office routines to more complex administrative responsibilities over the course of the day. The Co-ordinator works in a procedural, consensus-building manner with faculty, students, parents and staff in keeping with the school’s vision, mission, and values. 

What You’ll Do:

Reception & Attendance

  • Handles all Junior School reception responsibilities for half a day, including security, meeting and greeting students, parents, staff and guests
  • Oversees the Junior School student attendance
  • Tracks student arrivals and departures during the school day and liaises with the division offices for attendance purposes
  • Follow-ups on student attendance records and class attendance; monitors student sign-in and sign-out; tracks and inputs student absences, late arrivals, and early dismissals 
  • Resolves any discrepancies in daily student attendance records by monitoring the Unexcused Absences and Lates and Late Arrivals queries throughout the day, communicating with parents, as needed
  • Corresponds with parents, students and staff inquiries in person and via email/phone

General

  • Organizes event planning/briefs and Rendezvous Room bookings
  • Coordinates all JS events (JS Coffee Mornings, Grand Pal’s day, Open House, Curriculum evenings, faculty meetings, concerts, Learning Conferences, JS Community events etc.)
  • Orders student awards for end of year Chapels and Assemblies
  • Coordinates with VP to update scripts for Final Assembly and Closing Chapels
  • Coordinates calendars: setting of appointments, correspondence, calendar preparation, pickAtime, invitations, and other administrative functions (i.e. managing GANTT chart entries)
  • Coordinates the JS report card process, including production and distribution of report cards and liaising with the Data Team
  • Supports communication and information-sharing by creating and maintaining the weekly JS Staff Bulletin
  • Reviews and edits the Junior School section of the Yearbook
  • Supports ordering of classroom materials and furniture
  • Provides day-to-day administrative support to the JS Principal and Vice Principal 
  • Makes travel arrangements for Principal and Vice Principal and coordinates with other divisions, where applicable
  • Expense and budget management using Financial Edge NXT, and monthly Visa Reconciliation for Principal and Vice Principal

Who You Are:

  • Administrative experience, preferably working in an educational setting
  • Proficiency in Google Suite and Microsoft Office 
  • Strong writing, editing and proofreading skills with an eye for detail and accuracy
  • Experience with and interest in working with children and their families
  • Excellent organizational and interpersonal skills
  • Flexibility, team player and problem-solving skills
  • Ability to work some evenings for school related events such as: Curriculum Nights, Student Conferences, Open Houses and other community events
  • Ability to multitask, prioritize and work with interruptions and be responsive to needs of the role in a timely manner
  • A growth mindset of continuous improvement and learning

Salary Range: $60,000 - $65,000
