Permanent Full Time
Salary Range: $60,000 - $68,000

The Advancement and Foundation Co-ordinator is responsible for providing exemplary administrative and customer service to support the Advancement team, including support for the Major Gifts prospect research and tracking functions. They will maintain the fundraising database by ensuring accurate donor records, processing gifts, generating reports, and supporting fundraising campaigns through effective data management. They are also responsible for administrative support for the Board of Trustees. 

What You’ll Do:

  • Serve as the primary contact person for the Advancement office. 
  • Oversees core administrative functions of the Advancement office, including incoming and outgoing mail and courier service, office resources, file management, and room bookings.
  • Oversees the Advancement calendar and regularly attends interdepartmental calendar meetings.
  • Exercises diplomacy and good judgment in liaising with parents, students, employees, alumnae, donors and volunteers through support that reflects a thorough knowledge and understanding of the department’s activities. 
  • Monitors budget activity and expense coding and circulates GLs to budget managers.
  • Assists with and participates in special events as needed. 
  • Occasional evening, early morning and weekend work and support for the Front Desk. 
  • Tracks and coordinates approval of donor-related funding requests made by departments across the school for Advancement records and reporting to donors.
  • Coordinates meetings and performs recording secretary duties for the Board of Trustees and Trustee Committees. 
  • Ensures all Board of Trustees materials are prepared in advance and uploaded to Diligent
  • Records and tracks outreach/cultivation activities related to prospective candidates for the Board of Trustees (BoT), including maintaining the BoT skills matrix and pipeline. 
  • Provides support for the Prospect Management module and moves management measures for the Major Gifts function.
  • Oversees bank deposits, batch gifts and issues tax receipts and acknowledgment letters.
  • Manages and maintains accurate records in the fundraising database, ensuring accurate data entry, donor records, and gift processing. 
  • Generates reports, track donor engagement, and support fundraising campaigns by maintaining clean and organized records. 
  • Supports month end reconciliation with Finance.

Who You Are:

  • Successful completion of a university degree or relevant college diploma 
  • Experience working in a senior administrative role, preferably in an educational or non-profit environment 
  • Knowledge of Board governance structures and best practices
  • Strong organizational, administrative, and time-management skills with the ability to manage multiple priorities and perform effectively under pressure
  • Excellent interpersonal and communication skills, including sound judgment, discretion, and diplomacy when working with diverse stakeholders and the public
  • Exceptional customer service orientation
  • Advanced proficiency with Microsoft Office (Word and Excel), Google Workspace, and Zoom
  • Experience with databases, preferably Raiser’s Edge NXT
  • Self-motivated, proactive team player with the ability to work independently and collaboratively
