Supervisor, S uperintenden ts' Office within the
Planning & Development & Capital Development, Asset Management & Renewal department.

KEY ACCOUNTABILITIES: Reporting to and under the direction of the Superintendent of Capital Development, Asset Management and Renewal, and the Superintendent of Planning & Development Services, this position supports the effective operation of the Superintendents' Office by coordinating departmental projects, providing administrative and supervisory support, aligning cross-functional priorities, managing timelines, and supporting leadership decision-making while balancing competing demands.
- Provide high-level administrative and executive support to multiple Superintendents, ensuring the effective operation of the Superintendents' Office and adherence to public-sector governance requirements
- Daily supervision and oversight of assigned administrative staff, delegating workload, supporting performance, collaboration, and service excellence
- Coordinate calendars, meetings, agendas, and briefing materials, aligning competing priorities across departments to support timely and informed decision-making
- Support capital development, planning & development and real estate projects by tracking timelines, deliverables, and action items to ensure accountability and progress
- Act as a key liaison between senior leadership, internal departments, external agencies, consultants, and contractors, fostering effective collaboration and information flow
- Prepare, review, and manage correspondence, reports, summaries, briefing materials, presentations, and records for senior leadership, Board reporting, and regulatory compliance, to provide solutions and recommendations to aid in decision-making
- Assist with budget administration, invoice tracking, and financial documentation related to departmental operations and capital projects, supporting responsible stewardship of public funds
- Manage sensitive and confidential information with discretion, integrity, and sound judgment in accordance with public-sector standards
- Develop, implement, and maintain administrative systems and workflows that improve efficiency, consistency, and service delivery across departments
- Anticipate operational needs, identify issues, and recommend solutions to support leadership decision-making and continuous improvement in a complex public-sector environment
- Perform other duties as assigned or required
REQUIREMENTS: - Minimum three-year community college diploma or degree related to Business Administration or an equivalent combination of relevant education and experience
- Minimum two (2) years' experience in an executive administrative role with Supervisory experience
- Experience working with multiple stakeholders (internal and external)
- Experience with real estate matters, planning and capital development is an asset
- Familiarity with the school district's organizational structure, programs, policies and procedures is an asset
- Working knowledge of the Education Act, various relevant regulations, collective agreements, and of the Ontario public education system in general, would be an asset
- Excellent organizational, interpersonal oral and written communication skills
- Must be proficient (advanced level) in the use of all major computer software applications such as Microsoft Office Suite
- Experience with SAP and E-Scribe is an asset
- Proven excellent interpersonal and organizational skills and maintain a high level of tact, diplomacy and confidentiality
- Must be able to organize and ensure timely completion of multiple tasks and priorities
- Demonstrate flexibility and ability to deal with constant demands, deadlines and interruptions
- Availability and flexibility to work outside core office hours as required
