The Executive Assistant (EA) serves as the primary point of contact and a key strategic partner to the Headmaster. This role is an administrative professional who ensures the smooth operation of the Headmaster’s office and, by extension, the school by managing complex schedules, supporting communication, and being the primary liaison between the Headmaster and the school’s diverse stakeholders. The EA will balance meticulous organization with agility, professionalism and a sense of humour in a fast-paced, often unpredictable school environment.
This is a permanent part-time position reporting to the Headmaster of Royal St. George’s College.
Key Responsibilities
Calendar & Schedule Management
Maintains the Headmaster’s calendar, proactively identifying potential conflicts before they arise.
Schedules regular meetings with the Leadership Teams, Board Chair, and other key stakeholders.
Coordinates and assists with whole-school calendar management, inputting all events into the Portal.
Coordinates meetings for the Board of Governors and its SubCommittees.
Responsible for notifying the Board and subcommittee members of all upcoming meetings, distributing materials, collecting and summarizing submissions, and generally supporting the Board and other volunteer groups.
Relationship Management & Communication
Acts as the both gatekeeper and bridgebuilder between the Headmaster and parents, students, faculty and staff, the Board of Governors, and external partners.
Ensures the office of the Headmaster remains professional, empathetic, and aligned with the school’s Values across all platforms.
Communicates with all school constituents (Board members, businesses, associations, etc.) in person, by telephone, and in writing.
Manages the end-to-end process for the Headmaster’s personal outreach, including selecting gifts and drafting handwritten notes.
Manages all incoming correspondence, prioritizing urgent matters and drafting high-level communications.
Oversees the inventory of personal stationery, ensuring high-quality materials are always in stock.
Ensures facilities are prepared to the highest standard for the Headmaster’s guests.
Opens, sorts, and distributes mail as appropriate.
Gathers and provides information/research for the Headmaster as required.
Provides back-up and support to the school’s administrative team.
Event Coordination
Organizes small group and school-wide events (e.g., strategic planning events and leadership retreats) booking external and internal facilities (Chapel, Theatre, Gymnasium, etc.) and ensuring applicable event staff are informed of requirements.
Coordinates school-wide general administrative activities.
Position Requirements
Experience working within an educational institution and/or similar work environment.
Exceptional organizational skills, accuracy and attention to detail.
Technical proficiency with computer software and database programs including but not limited to, Google Workspace and Microsoft Office, experience with School Management Systems (e.g., Blackbaud) is preferred.
Fosters a welcoming and professional atmosphere.
Strong interpersonal, communication and problem-solving skills are required.
Ability to maintain utmost discretion with respect to sensitive or confidential information.

The salary range for this position is $60,000 - $80,000 and reflects the required experience and qualifications for this role on a full-time basis. Final compensation and total rewards will be determined based on the successful candidate’s unique skill set and may vary from the listed range.
Eligibility to work in Canada and clearance of a Criminal and Vulnerable Sector Background check is required.
