1.0 FTE EXECUTIVE ASSISTANT, FORT FRANCES OR DRYDEN BOARD OFFICE
The Northwest Catholic District School Board is a system committed to Catholic Education. The Board serves the communities of Dryden, Fort Frances, Sioux Lookout, Atikokan and Stratton in Northwestern Ontario. The Board operates
five (5) elementary schools, serving a total of approximately 1300 students. The Executive Assistant to the Chief Executive Officer (CEO) and Secretary of the Board provides high level executive, governance and administrative support to the CEO and Board of Trustees. This role coordinates the CEO's Office
operations, supports Board governance processes and maintains the integrity and confidentiality of Board records and
communications. Serving as a key liaison among the CEO, Trustees, senior administration, external partners and the
public, the Executive Assistant exercises strong discretion and professionalism while managing sensitive information, anticipating needs and supporting the CEO in fulfilling leadership, governance and communication responsibilities.
Qualifications/Requirements:
• Post secondary education in office administration, business administration, communications or a related field is preferred.
• Minimum five (5) years of progressive administrative experience, preferable in a complex public sector or education environment.
• Demonstrated experience supporting senior administration and/or governance bodies.
• Advances proficiency with Microsoft 365 and digital collaboration tools; experience with Canva and social media
platforms is an asset.
• Exceptional communication, organizational and problem solving skills.
• Proven ability to manage multiple priorities and meet deadlines in a fast paced environment.
• High level of discretion, professionalism and attention to detail.
• Knowledge of Board governance processes, the Education Act and related legislation is considered an asset.
• Strong interpersonal skills and the ability to build effective relationships with diverse stakeholders.
• Ability to work independently, anticipate needs and exercise sound judgment in handling sensitive information.
Salary/Benefits:
• $76,126 to $83,800 (dependent upon experience and qualifications)

EXECUTIVE ASSISTANT Title: Executive Assistant to the Chief Executive Officer and Secretary of the Board
Reports to: Chief Executive Officer

Position Summary:
The Executive Assistant to the Chief Executive Officer (CEO) and Secretary of the Board provides high level
executive, governance and administrative support to the Chief Executive Officer (CEO) and the Board of
Trustees.
The position is responsi le for coordinating the effective operation of the CEO's OfficeѶ supporting Board governance processes and ensuring the integrity, accuracy and confidentiality of Board records and
communications.
The Executive Assistant serves as a key liaison between the Chief Executive Officer (CEO), Trustees, senior
administration, external partners, and the public. The incumbent exercises a high degree of discretion, judgment and professionalism while managing complex and sensitive information.
The role requires the ability to anticipate needs, manage multiple priorities and support the CEO in
fulfilling responsibilities related to system leadership, governance and public communication.
Position Responsibilities:
1. Executive Office Coordination:
a. Coordinates the da4 to da4 operations of the CEO's office to ensure efficient and effective
functioning. b. anages the CEO's calendarѶ scheduling meetingsѶ appointments and travel
arrangements. c. Prepares, edits and formats correspondence, reports, briefing materials and digital
presentations.
d. Anticipates and prepares materials required for meetings and decision making. e. Monitors and prioritizes incoming communications and ensures timely follow up.

2. Board Governance and Trustee Support: a. Coordinates the preparation, review and distribution of Board and Committee agendas
and supporting materials.
b. Attends Board and Committee meetings and prepares accurate and timely minutes in accordance with legislative and Board requirements.
c. Maintains official Board records, bylaws, policies and governance documentation. d. Supports the CEO in fulfilling statutory responsibilities as Secretary of the Board.
e. Acts as the liaison between the CEO and Trustees. f. Coordinates governance processes, including meeting schedules, agendas and follow up
actions.
3. Communications and Public Affairs:
a. Supports the development and coordination of Board communications, including Board meeting highlights, public messaging and media releases.
b. Maintains the Board website and digital communication platforms in collaboration with
appropriate departments.
c. Assists in managing sensitive communications and reputational considerations.
d. Coordinates internal and external communications on behalf of the CEO. e. Provides support for public announcements, events and stakeholder communications.
4. Records Management and Confidentiality:
a. Maintains digital and physical records in accordance with Board policies, records
retention schedules and applicable legislation (e.g. MFIPPA). b. Ensures the accuracy, integrity and security of confidential information.
c. anages the secure handling and storage of Board and CEO's Office documentation.
d. Maintains official Board records, including minutes, reports and legal or in camera documentation.
5. Stakeholder Relations: a. erves as a primar4 point of contact for the CEO's OfficeѶ responding to in,uiries from
internal and external stakeholders. b. Exercises sound judgment in triaging issues, responding to inquiries and escalating
matters as appropriate.
c. Supports positive relationships with Trustees, staff, government agencies, community
partners and the public. d. Demonstrates professionalism, tact and discretion in all interactions.

6. Administrative and Operational Support: a. Coordinates logistics for Board meetings, committee meetings and special events. b. Supports the preparation and coordination of reports and documentation for senior
administration and Trustees. c. ssists 2ith monitoring udgets and administrative processes 2ithin the CEO's Office. d. Maintains information within Board systems as required. e. Performs other related duties as assigned by the CEO.
f. Is familiar with Student Information Systems (PowerSchool).

The Executive Assistant is required to maintain strict confidentiality in all aspects of the role, including but not limited to:

• In-camera Board discussions.

• Financial and operational information.
Qualifications:
• Post secondary education in office administration, business administration, communications or a
related field is preferred.
• Minimum of five (5) years of progressive administrative assistant experience, preferably in a complex public sector or education environment.
• Demonstrated experience supporting senior executives and/or governance bodies.
• Advanced proficiency with Microsoft 365 and digital collaboration tools, Canva and social medial
platforms (e.g. Facebook, Instagram).
• Strong communication and problem solving skills
• Demonstrated ability to manage multiple priorities and meet deadlines in a fast paced
environment.
• High level of discretion, professionalism and attention to detail.
• Knowledge of Board governance processes, the Education Act and applicable legislation is an
asset.

Working Conditions:
• Works in a typical office environment with constant exposure to a computer screen.
• Frequent interruptions and competing priorities.
• Requirement to attend evening Board and Committee meetings.
• Exposure to confidential and sensitive information.
• Occasional requirement to respond to urgent matters outside regular working hours.
• District travel (infrequent) is required.
